Sales & Refunds Policy
Quotes, payment, cooling-off, cancellations and refunds.
1. About this policy
This Sales & Refunds Policy explains how CodeFusion UK sells services, takes payment, and handles cancellations and refunds. It should be read with our Terms of Service and Subscription Policy.
We primarily supply business-to-business (B2B) digital services. If you buy as a consumer (an individual acting outside your trade), additional rights under the Consumer Rights Act 2015 and Consumer Contracts Regulations 2013 may apply.
2. Quotes and orders
- Quotes describe scope, price, deposit structure and validity.
- An order is formed when you accept a quote/proposal and/or pay the requested deposit or invoice.
- Changes to scope after acceptance may require a revised quote and additional fees.
3. Pricing and VAT
Prices are shown in GBP. VAT is charged where we are VAT-registered and VAT applies; otherwise prices are as stated on the invoice. If our VAT status changes we will update invoices accordingly.
4. Deposits and payment schedules
Project work may require a deposit payable before work starts. Remaining balances become due according to the invoice terms (for example on milestones, on delivery, or after we mark work complete). Due dates and payment links appear on each invoice in the client portal.
Payment methods typically include Stripe card checkout and, where offered, bank transfer. Cleared funds are required before ownership/licence transfer of deliverables, unless otherwise agreed.
5. Late payment
If an invoice is overdue we may pause work, withhold release of files, suspend hosting/subscription services, and charge statutory interest/late payment compensation where applicable under the Late Payment of Commercial Debts legislation for B2B debts.
6. Cooling-off (consumers)
If you are a consumer buying digital services at a distance, you may have a 14-day cooling-off period. If you ask us to start work during that period, you acknowledge that:
- you may lose the right to cancel once the service has been fully performed; and
- if you cancel after work has started but before completion, you may be charged a reasonable amount for work already performed.
Business customers generally do not have a statutory cooling-off right.
7. Cancellations by you (projects)
If you cancel a project after acceptance:
- Deposits are non-refundable once work has commenced, except where we agree otherwise in writing or where consumer law requires a refund.
- You remain liable for work completed and third-party costs already incurred (domains, licences, stock assets, etc.).
8. Cancellations by us
We may decline or stop work if requirements are unlawful, abusive, commercially impractical, or if you materially breach our Terms or Acceptable Use Policy. Prepaid unused fees for undelivered work may be refunded on a fair basis after deducting work done and costs.
9. Refunds
Because our services are custom digital work, refunds are limited:
- Website audit / one-off digital reports — once generated and made available, fees are non-refundable (FOC audits have no charge).
- Project deposits — non-refundable after commencement as above.
- Defects — we will remedy defects covered by an agreed warranty/bug-fix window at no extra charge; this is not a cash refund unless we cannot remedy and the law requires otherwise.
- Subscriptions — see Subscription Policy for renewals and cancellations.
Approved refunds are returned to the original payment method where possible and may take several working days depending on Stripe/your bank.
10. Non-conforming services (consumers)
If you are a consumer and a service is not performed with reasonable care and skill, you may be entitled to repeat performance or a price reduction under the Consumer Rights Act 2015. Contact us promptly with details so we can investigate.
11. Complaints
Email hello@codefusionuk.com with your invoice/quote number and a clear description of the issue. We aim to acknowledge within 2 working days and resolve fairly as quickly as practicable.

These policies apply to our UK trading activities. If anything in a signed quote or order conflicts with a general policy, the signed document takes priority for that engagement.
